Getting started
- Sign up and get your agency approvedCreate your Calbil account with email or Google, send your agency details, and start quoting once the Calbil team approves your agency.
- Set up your agency: logo, colour, SAR rate and markupAdd your logo and brand colour, set the SAR to PKR rate, default markup, quote validity and quote terms that every new quote uses.
- Your dashboard and quick searchWhat the dashboard shows each day: quotes this month, follow-ups, recent quotes, expiring rates and the setup checklist, plus Ctrl+K search.
Quotes
- Create an Umrah quote step by stepBuild a custom quote: client and travellers, dates, Makkah and Madinah stays, services and pricing. Calbil picks the cheapest valid vendor rate.
- Fill a quote from the client's WhatsApp messagePaste the client's message in English, Urdu or Roman Urdu and press Fill the form: travellers, dates, nights, room and services are filled for you.
- Speak the client's request instead of typingTap Speak and say the client's request in Urdu, English or both. The words appear in the message box and Fill the form does the rest.
- Adults, children and infants: how ages are countedCalbil follows airline and visa practice: infant under 2, child 2 to 11, adult 12 and over. How each traveller type is priced.
- Quote a vendor packageSwitch New Quote to Vendor package, pick a ready package and the form fills with its dates, hotels and services. Only the client's price is shown.
- Pricing, markup and how the price is shownHow Calbil calculates the total, how to set markup per traveller or per service, and how to show the price as lump sum, per person or service-wise.
- Share a quote on WhatsApp, as a link or PDFSend the quote on WhatsApp, copy its private link or download the branded PDF. Sharing marks the quote Sent, and you see when the client opens it.
- Quote status: draft, sent, viewed, accepted and lostWhat each quote status means, how it changes, and how to mark a quote accepted or lost or reopen it.
- Follow up with clients on WhatsAppSend a ready Roman Urdu follow-up on WhatsApp for quotes that were not opened, viewed without a reply or about to expire. Tracking is Premium.
- Edit or duplicate a quoteEdit keeps the same quote number and recalculates it; Duplicate makes a new quote from the same inputs at today's rates.
- Find quotes: search, filters and totalsSearch by quote number, client or phone, filter by status, departure and validity, and see totals of your quotes at a glance.
Vendors & rates
- Add a vendor and choose its servicesAdd each supplier you buy from, tick the services they provide, and add their rates. Vendors and costs are private to owners and managers.
- Add hotel ratesEnter one price per room per night in SAR for each hotel, with validity dates. Calbil works out rooms from the travellers and persons per room.
- Add transport ratesPrice transfers city to city or the full Umrah trip, per vehicle or per person, sharing or private. Calbil uses the cheaper of the two on each quote.
- Add visa, air ticket and ziyarat ratesEnter visa prices for adults, children and infants, air fares by route and airline, and ziyarat per city by bus or private vehicle.
- Add a vendor packageSave a ready package with fixed dates, route, hotels and services, priced in PKR per person by room type, so agents can quote it in seconds.
- Renew rates for a new seasonCopy a vendor's rates to new dates in one form and change only the prices that moved. Expired and ending rates are ticked for you.
- The rate book: every rate in one placeSee all vendor rates with their validity, search and filter them, pause or resume, and on Premium see which vendor has the best price.
- Hotel distances and requesting a missing hotelSet your own distance, walking or shuttle access and stars for each hotel, shown on your quotes, and ask Calbil to add a hotel that isn't listed.
