Upload the sheet
Open the vendor in Calbil, choose Import rates from a file and pick the PDF or photo, even one saved from WhatsApp. Big phone photos are made smaller first.

Check what Calbil read
Each hotel, date period and visa price becomes a card next to the sheet: green Looks right, amber Check, red Fix first. Change any price, date or hotel.

Save
Press Save and the rates are in your rate book. New quotes pick the cheapest valid rate from them, night by night.

Rate sheet import questions
Which files can I upload?
A PDF (up to 10 pages) or a photo: PNG, JPG or WebP, up to 4 MB. A photo of a printed sheet or an image saved from WhatsApp works; big phone photos are made smaller before upload.
Does it read every sheet correctly?
It reads most rate sheets well, but vendors print rates in many ways, so you always check before saving. Each card shows what was on the sheet and marks anything to look at: an unclear date, a hotel matched by a similar name, or a price far from the last one. Nothing is saved until you press Save.
Which rates does it read?
Makkah and Madinah hotels with Double, Triple, Quad, Quint and Sharing prices for each date period, Umrah visa prices (with small-group prices and whether sharing transport is included) and ziyarat by bus. Package flyers are not read yet.
What if a hotel is not in Calbil?
Calbil matches hotel names to its list even with another spelling, like "Emar" and "Emaar". If a hotel is not there, it is added to the list when you save, so you don't have to stop and ask.
Is my vendor’s sheet kept or shared?
The file is read by an AI service (Anthropic's Claude) and is not stored by Calbil. The rates you save belong to your agency only; other agencies never see your vendors or prices. Agents in your team never see vendor costs.
Which plan has the rate sheet import?
Premium. It reads up to 50 vendor rate sheets a month (PDF or photo), and a sheet that was read before is not counted. On the Free plan you add rates by hand, with the same rate book, room types and date periods.
